The Event Guys provides technology advice and services for live event organizers, agencies, and associations. Our services include scouting and implementing new technologies, onsite/on call support, and ad hoc project management.

Privacy Policy

This Privacy Policy describes the current policies and practices of Kingstad Consulting LLC dba Kingstad Event Technologists (“KINGSTAD”) with regard to Personal Data. “Personal Data” refers to personally identifiable information about you (such as your full name, birth date, e-mail address or mailing address, phone number and any other information that can be used to identify or contact you) collected and used by KINGSTAD through its website, www.kingstad.com (the “KINGSTAD Website” or “Website”) and/or collected by KINGSTAD’s business partners and used by KINGSTAD, and/or collected by KINGSTAD via email, telephone, or facsimile and stored by KINGSTAD’s business partners. This Privacy Policy is periodically updated. Please check back on a regular basis for any changes.

Personal Data Collected

The only Personal Data KINGSTAD currently collects is the Personal Data that is voluntarily provided to KINGSTAD by users of KINGSTAD’s services. For example, the KINGSTAD website allows you to send us an email with any questions you may have. If you choose to do that, KINGSTAD will then have your email address and any other information you include in your email. You may also enter Personal Data, such as name, address, telephone number, email address, credit card or other billing information, travel plans or passport number, into a registration form to register for a meeting or other event being coordinated by KINGSTAD. When you enter Personal Data into such a registration form, that data is collected and stored by one of KINGSTAD’s business partners, who will treat your Personal Data in accordance with this Privacy Policy. You may also provide KINGSTAD with Personal Data when you request over the telephone or via email or facsimile that KINGSTAD provide services for you such as meeting registration or hotel reservation, or when you fill out a customer satisfaction survey.

Non-Personal Data Collected

Other data that does not qualify as Personal Data because it cannot be used to contact or identify you (“Non-Personal Data”) may also be automatically collected. For example, KINGSTAD and its business partners may use technology to automatically collect Non-Personal Data about the use of the KINGSTAD Website or a particular event registration website. This technology is used to track how many users access the websites, the date and time of their visits, the length of their stays, and which pages they view. We may also use technology to determine which web browsers users use and the address from which they accessed the websites. The information collected using this technology does not identify any user personally and is thus all Non-Personal Data that simply enables KINGSTAD and its business partners to compile statistics about users and their use of the websites. We use this Non-Personal Data and may share it with third parties to improve the content and functionality of the Privacy Policy websites, to better understand our customers and markets, and to improve our products and services.

Cookies

We may store certain information from your web browser using “cookies.” A cookie is a piece of data stored on the user’s computer tied to information about the user. We may use session-ID cookies to confirm that registered users are logged in. These cookies would terminate once the user closes the web browser. We may also use persistent cookies that store certain Personal Data you already provided to us to make it easier for you to log back in to a particular event registration website. Cookies are used as a convenience feature for the user. You can remove or block cookies using the settings in your browser if you want to disable them.

Use of Personal Data Collected

KINGSTAD uses the Personal Data collected on the KINGSTAD Website to provide you with the requested services or products. If you request additional information on KINGSTAD’s services, for example, KINGSTAD will use your Personal Data to contact you and provide the additional information you requested. KINGSTAD will also use your Personal Data to coordinate your attendance at an event for which you filled out a registration form. Depending on the particular event, we may use your Personal Data to book hotel rooms and transportation for you, and for any other purpose related to your registration for the event. KINGSTAD and its business partners may also use your Personal Data to contact you for a variety of reasons, such as but not limited to notifying you about upcoming events, offering you additional products or services, or requesting your feedback on our products or services.

Disclosure of Personal Data Collected

KINGSTAD may disclose Personal Data to third parties under certain circumstances. KINGSTAD may disclose Personal Data to third parties if a user has requested that KINGSTAD do so, or if it is necessary to provide you with the services you requested. Your Personal Data may need to be disclosed to a hotel or transportation services provider, for example, if you request that KINGSTAD make hotel or transportation reservations for you in connection with your event. Your Personal Data will also be disclosed to the owner of your meeting or event. For example, if your employer has hired KINGSTAD to coordinate its meeting or event, the Personal Data you enter will be disclosed to your employer. KINGSTAD does not control how the owner of the meeting or event uses your Personal Data. KINGSTAD may also disclose Personal Data to its affiliates, contractors and business partners, who will use the Personal Data in compliance with this Privacy Policy. The retention period of your personal information is determined by the controller of your data and is only kept for the intended duration, as needed, and communicated to KINGSTAD based upon our agreement with them. If KINGSTAD is Privacy Policy acquired by or merged into another entity, or all or a portion of KINGSTAD’s assets are sold or otherwise transferred to another entity, KINGSTAD may disclose Personal Data to that entity. KINGSTAD may also disclose Personal Data if required or authorized to do so by law or an industry reporting authority.

Security Measures

KINGSTAD takes reasonable precautions to safeguard personal data from loss, misuse, tampering, destruction and unauthorized access. Precautions include password protection for on-line information systems, encrypted transfer of documents, restricted access to certain paper records, and other technical measures implemented by KINGSTAD’s information technology department. While such security measures provide reasonable protections against unauthorized access, they provide no guarantee that your Personal Data will not be compromised.

Access

At your request, KINGSTAD will allow you to access or review your Personal Data and have the right to rectify, erase, restrict processing, to data portability, right to object and the right not to be subject to automated decision making including profiling. You may be required to provide identifying information and/or answer some security questions to verify your identity.

Choice

KINGSTAD allows you to choose not to have your Personal Data disclosed to third parties or used for a purpose incompatible with the purpose for which it was originally collected. Right to Opt Out: When you register with us, or if you provide additional Personal Information through our Service, Sites or Apps, we provide you with the right to “opt out” of receiving future communications from us for direct marketing purposes by indicating that you decline such communications. If you’ve subscribed to receive emails and later change your mind, you may withdraw your consent simply by clicking the link to “unsubscribe.” You may choose to have your name taken off of our email list after you have registered or provided additional information by emailing us. If you opt-out of receiving marketing information from us, we may still contact you concerning the Services, your specific transactions, and your communications with us. Data Integrity

KINGSTAD only collects, uses and discloses Personal Data that is relevant for its intended uses, and takes reasonable steps to ensure that Personal Data is reliable for its intended use, accurate, complete, and current.

This Privacy Policy applies only to Personal Data, as defined above. The KINGSTAD Website or the event and meeting registration websites you use may contain hyperlinks to websites that are not operated or controlled by KINGSTAD. These hyperlinks are provided for your reference and convenience only and do not imply any endorsement of the activities of these third-party websites or any association with their operators. KINGSTAD does not control these websites and is not responsible for their data practices. We urge you to review the privacy policy posted on any website you visit, including those of our business partners and meeting/event owners, before using the website or providing any Personal Data about yourself. Privacy Shield

Kingstad Consulting LLC complies with the EU-U.S. Privacy Shield and the Swiss-U.S. Privacy Shield Frameworks as set forth by the U.S. Department of Commerce regarding the collection, use, and retention of personal information transferred from the European Union, the United Kingdom and Switzerland, to the United States. Kingstad Consulting LLC has certified to the Department of Commerce that it adheres to the Privacy Shield Principles. If there is any conflict between the terms in this privacy policy and the Privacy Shield Principles, the Privacy Shield Principles shall govern. In compliance with the Privacy Shield Principles, Kingstad Consulting LLC commits to resolve complaints about our collection or use of your personal information. EU & Swiss individuals with inquiries or complaints regarding our Private Shield policy should first contact Eric Kingstad, CEO & Data Security Officer at 503-539-1215 or email (eric@kingstad.com).

Kingstad Consulting LLC has further committed to cooperate with EU data protection authorities (DPAs) or the Swiss Federal Data Protection and Information Commissioner with regard to unresolved Privacy Shield complaints concerning human resources data transferred from the EU or Switzerland the context of the employment relationship. If you do not receive timely acknowledgment of your complaint from us, or if we have not addressed your complaint to your satisfaction, please contact the EU DPAs or the Swiss Federal Data Protection and Information Commissioner for more information or to file a complaint. The services of EU DPAs or the Swiss Federal Data Protection and Information Commissioner are provided at no cost to you.

Under Privacy Shield, Kingstad Consulting LLC:

  • Is subject to the investigatory and enforcement powers of the Federal Trade Commission (FTC)

  • The possibility, under certain conditions, for the individual to invoke binding arbitration

  • There is a requirement for Kingstad Consulting LLC to disclose personal information in response to lawful requests by public authorities, including to meet national security or law enforcement requirements

  • Liability in cases of onward transfers to third parties
